Candidate Privacy Policy

The short version

We use your application to decide whether to hire you. That is all.

We keep it for a year in case something else opens up, and you can ask us to delete it sooner.

Who this is for

Anyone who applies for a role at Xalen Technology Private Limited, through our careers page, by email, or through a recruiter acting for us.

What we collect

• Your name, contact details, CV, work history, education and portfolio.
• Notes and scores from interviews and any exercise you completed.
• References you gave us, once we have your permission to contact them.
• Right-to-work and identity evidence, only if we make you an offer.

Why we use it

To assess your application, to arrange interviews, to compare candidates fairly, and to make and document a hiring decision. Where we have a lawful basis, we also keep it for future roles.

We do not use automated decision making to reject an application without a person looking at it.

Who sees it

The hiring team and the people who need to interview you. Applicant tracking and scheduling tools we use as processors. A background check provider, only after an offer and only with your consent.

We do not share your application with anyone outside the hiring process, and we do not tell your current employer that you applied.

How long we keep it

Twelve months from your last contact with us, unless you ask us to delete it sooner or you accept an offer, in which case it becomes part of your employee record.

Your rights

You can ask for a copy of what we hold, ask us to correct it, or ask us to delete it: [email protected]. We respond within 30 days, under the Digital Personal Data Protection Act, 2023.

Grievances go to the Grievance Officer named in the Grievance and Consumer Complaint Policy.
